Privacy policy for recruitment using Teamtailor
The service for handling recruitments and simplifying the hiring process (the "Service") is powered by Teamtailor on behalf of any company within Infobric Group that is reponsible for the processing of your personal data ("Controller" “we” “us” etc.). For contact details to the Infobric Group companies please see section 14.
It is important that the persons using the Service ("Candidate”, “you” etc.) feel safe with, and are informed about, how we handle Candidates’ personal data in the recruitment process. We take appropriate measures to ensure that your personal data is protected and that its processing is carried out in accordance with applicable laws and regulations, as well as our internal policies and procedures. We process, manage, use, and protect Candidates’ Personal Data in accordance with this Privacy Policy ("Privacy Policy").
1. General
We are the controller in accordance with current privacy legislations. The Candidates’ personal data is processed with the purpose of managing and facilitating recruitment of employees to our business.
Personal data refers to any information that can directly or indirectly identify you, such as your name or IP address.
2. Who is covered by this policy?
This information notice covers our processing of personal data relating to candidates and referees in the context of recruitment:
- You are considered a candidate if you apply for employment with us.
- You are considered a referee if an applicant for a position with us has provided your name as a reference during the recruitment process.
3. Who is responsible for handling your personal data?
The group company recruiting for the position in question is responsible (is the Controller) for the handling of your personal data. "We", "our" and "us" in this information refer to the relevant group company responsible for handling your personal data.

4. What personal data do we collect?
We only collect the personal data we need. The specific personal data we collect depends on how you interact with us and whether you are a candidate or a referee
We collect and process the following categories of personal data:
• Identitification information: Information that enables us to identify you, such as your name.
• Contact details: Information that allows us to contact you, such as your address, email address, and telephone number.
• Profile information: Information about your profile, such as age, current position, details of your current employer or client, and marital status.
• Competence information: Information relating to your qualifications, such as education, professional experience, language skills, and certifications.
• Personal data shared in communications with us, e.g. content of e-mail messages and chat.
• Test data: Information related to tests you have completed, such as test results, date of the test, and type of test.
• Profile information collected when Candidates add personal data about themselves using a third-party source such as Facebook or LinkedIn.
• Profile information from third parties, such as Facebook, LinkedIn and through other public sources. This is referred to as “Sourcing” and be manually performed by our employees or automatically in the Service.
In some cases, existing employees can make recommendations about potential applicants. Such employees will add personal data about such potential applicants. In the cases where this is made, the potential applicant is considered a Candidate in the context of this Privacy Policy and will be informed about the processing.
5. From where do we collect personal data?
We collect personal data from:
• Yourself. We collect the personal data that you yourself provide to us, e.g. in your application documents.
• Recruitment company. Where applicable, we collaborate with various recruitment companies and then collect the information about you that they share with us in connection with the recruitment.
• Reference persons. We normally take references from reference persons as part of the recruitment process and then collect the information they share with us.
• Group companies. The companies within the group cooperate with each other and can share information with each other in connection with employee communication.
• External persons. We may also collect personal data about you from external persons who provide us with your personal data, e.g. in connection with communication.
• Publicly available sources of information. Within the framework of a recruitment process, we may also collect personal data from publicly available information sources, e.g. from social networking platforms or public records.
6. Our use of personal data
We use your personal data, among other things, to manage the recruitment process, evaluate and follow up on the recruitment process, address and respond to legal claims, and to comply with the law. Below, we provide more detailed information on why we use your personal data in various cases. Not all processing activities may apply to you; the processing activities that apply to you depend on how you interact with us and whether you are a candidate or a referee.

• Manage the recruitment process
We use your personal data to manage the recruitment process, e.g. to receive and review your application documents (such as CV and cover letter), to evaluate the application and to communicate during the recruitment process.
• Future recruitment
With your consent, we store your application documents for future recruitment purposes, such as being able to contact you if a recruitment need arises for a position that matches your profile.
• Conduct reference checks
We use your personal data as a reference person in connection with taking references within the framework of a recruitment process, e.g. to communicate and collect your opinion about the candidate.
• Conduct background checks and personality/ability tests
In certain cases, we conduct various types of checks and tests (e.g., personality and ability tests) as part of the recruitment process. If checks and tests are required, we will ask for your consent and provide more information about the specific checks and tests.
• Follow up and evaluate the recruitment process
We use your personal data to evaluate and follow up the recruitment process, e.g. to produce reports and statistics on the number of applications per position.
• Ensure technical functionality and security

• Handle and respond to legal claims
We use your personal data if necessary to manage and respond to a legal claim, such as in the context of a dispute or legal proceedings. For this purpose, we may share certain information with other recipients; see further below for more details.

To comply with legal obligations, we process your personal data if necessary, such as to meet requirements under the Employment Protection Act (1982:80) (LAS).
7. Storage and transfers
The personal data collected through the Service is stored and processed inside the EU/EEA, or such third country that is considered by the European Commission to have an adequate level of protection, or processed by such suppliers that have entered into such binding agreements that fully complies with the lawfulness of third country transfers or to other supplies where adequate safeguards are in place to protect the rights of the data subjects whose data is transferred. 8. Candidates’ rights
You have certain rights under applicable data protection legislation in relation to the personal data we have collected about you. Below is a brief overview of your rights.

You have the right to:
- Request access to and receive a copy of the personal data we hold about you.
- Request rectification of personal data you consider to be inaccurate or incomplete.
- Withdraw your consent where we process your personal data based on your consent.
- Request erasure of your personal data under certain circumstances, though not when we are legally required to retain the data.
- Request restriction of processing under certain circumstances. This means you can, at least temporarily, prevent us from using your personal data for purposes other than, for example, managing or responding to legal claims, or fulfilling legal obligations.
- Object to processing based on our or a third party’s legitimate interests, on grounds relating to your particular situation. Unless we can demonstrate compelling legitimate grounds for the processing, we will cease using your personal data for that purpose.
- Exercise your right to data portability under certain conditions, by requesting a copy of your personal data in a structured, commonly used and machine-readable format, which you can transmit to another controller.

9. Security
We prioritize the personal integrity and therefore works actively so that the personal data of the Candidates are processed with outmost care. We take the measures that can be reasonably expected to the make sure that the personal data of Candidates and others are processed safely and in accordance to this Privacy Policy and the GDPR-regulation.
However, transfers of information over the internet and mobile networks can never occur without any risk, so all transfers are made on the own risk of the person transferring the data. It is important that Candidates also take responsibility to ensure that their data is protected. It is the responsibility of the Candidate that their login information is kept secret.
10. Transfer of personal data to third party
Below, we describe the recipients with whom we share your personal data. The specific recipients we share your personal data with depend on how you interact with us. Unless otherwise stated below, each recipient is independently responsible for its own processing of your personal data.

• Service Providers
In order to manage personal data, we share personal data with service providers we have engaged. These service providers may, for example, provide recruitment services or IT services. When the service providers process personal data on our behalf and in accordance with our instructions, they act as data processors, and we remain responsible for the processing of your personal data. The service providers are not permitted to use your personal data for their own purposes and are legally and contractually obligated to protect your data.
• Group companies
Companies within our corporate group collaborate and therefore share data with each other in connection with communication between employees and external parties.
• Trade Unions
In certain cases, we share personal data with trade unions, for example, to manage and respond to legal claims (such as in connection with a dispute or legal proceeding).
• Other Recipients
In some cases, when necessary, we share your personal data with other recipients for specific purposes:
- to manage a merger or sale of the business,
- to manage and respond to legal claims,
- to comply with legal obligations, and
- to respond to a request.
Examples of such recipients include external advisors, public authorities, courts, the police, and potential buyers or sellers in the event of a business sale.
11. Aggregated data (non-identifiable personal data)
We may share aggregated data to third parties. The aggregated data has in such instances been compiled from information that has been collected through the Service and can, for example, consist of statistics of internet traffic or the geological location for the use of the Service. The aggregated data does not contain any information that can be used to identify individual persons and is thus not personal data.
12. Cookies
When Candidates use the Service, information about the usage may be stored as cookies. Cookies are passive text files that are stored in the internet browser on the Candidate’s device, such as computer, mobile phone or tablet, when using the Service. We use cookies to improve the Candidate’s usage of the Service and to gather information about, for example, statistics about the usage of the Service. This is done to secure, maintain and improve the Service. The information that is collected through the cookies can in some instances be personal data and is, in such instances, regulated by our Cookie Policy.
Candidates can at any time disable the use of cookies by changing the local settings in their devices. Disabling of cookies can affect the experience of the Service, for example disabling some functions in the Service.
13. Changes
We have the right to, at any time, make changes or additions to the Privacy Policy. The latest version of the Privacy Policy will always be available through the Service. A new version is considered communicated to the Candidates when the Candidate has either received an email informing the Candidate of the new version (using the e-mail stated by the Candidate in connection to the use of the Service) or when the Candidate is otherwise informed of the new Privacy Policy.
